Casa Bella Collective Retreat Terms & Participant Agreement
Effective September 2026
By reserving a spot on a Casa Bella Collective retreat and submitting payment, you acknowledge that you have read, understood, and agreed to the following Terms & Participant Agreement.
These terms apply to retreats operated by Casa Bella Collective LLC (“Casa Bella Collective,” “Casa Bella,” “we,” “us,” or “our”), including our 2027 Coffee Region and Providencia Island retreats in Colombia.
1. Reservation & Payment
A $500 nonrefundable deposit per person is required to reserve a retreat spot. Your reservation is confirmed only after Casa Bella Collective has confirmed your selected retreat and accommodation and your deposit has been received.
The deposit is applied toward your total retreat price.
Your specific retreat price, accommodation selection, remaining balance, and payment deadline will be provided with your booking confirmation.
The remaining balance must be paid by the deadline stated in your booking confirmation. Reservations made after the final-payment deadline require payment in full.
Failure to make payment by the applicable deadline may result in cancellation of your reservation and forfeiture of your deposit.
2. Guest Cancellation & Refunds
Your $500 deposit is nonrefundable and reserves your place on the retreat.
If your plans change before the cancellation deadline specified for your retreat, payments made beyond the $500 deposit will be refunded.
Beginning on the applicable cancellation deadline, all retreat payments are nonrefundable, as Casa Bella Collective will have committed funds toward accommodations, transportation, meals, activities, and other retreat arrangements.
No refunds or credits will be provided for arriving late, departing early, missing an activity or meal, or choosing not to participate in any portion of the retreat.
We strongly recommend purchasing comprehensive travel insurance that includes appropriate trip-cancellation and trip-interruption coverage.
3. Changes or Cancellation by Casa Bella Collective
Casa Bella Collective may make reasonable changes to accommodations, transportation, meals, activities, instructors, guides, schedules, or other elements of an itinerary when necessary because of weather, safety considerations, availability, transportation disruptions, local conditions, government actions, natural events, or other circumstances.
When reasonably possible, we will attempt to provide an appropriate alternative.
Casa Bella Collective also reserves the right to cancel or reschedule a retreat if minimum participation requirements are not met or if circumstances make operating the retreat impracticable or unsafe.
If Casa Bella Collective cancels a retreat and does not offer an alternative retreat accepted by the participant, payments made directly to Casa Bella Collective for that retreat will be refunded.
Casa Bella Collective is not responsible for nonrefundable airfare, independently booked accommodations, travel insurance premiums, visa or passport expenses, or other expenses purchased independently by a participant. Travel insurance is strongly recommended for this reason.
4. Travel Arrangements & Documentation
Participants are responsible for arranging and paying for their own transportation to the arrival location specified for their retreat unless expressly stated otherwise.
Participants are responsible for ensuring they possess a valid passport and any visas, entry documents, vaccinations, health documentation, or other documentation required for travel to and within Colombia.
Casa Bella Collective will provide recommended arrival and departure information before the retreat. Participants are responsible for arriving at the designated location within the communicated arrival window.
Transfers included with a retreat apply only to the airports, locations, and time windows specifically identified by Casa Bella Collective.
Additional transportation resulting from alternate airports, missed flights, delays, early arrivals, late arrivals, or itinerary changes made by the participant is the participant's responsibility unless Casa Bella Collective expressly agrees otherwise.
5. Travel Insurance
Travel involves circumstances outside anyone's control.
Participants are strongly encouraged to purchase comprehensive travel insurance covering, as appropriate, trip cancellation, trip interruption, travel delays, lost or delayed baggage, emergency medical treatment, medical evacuation, and other unexpected travel-related expenses.
Participants remain responsible for costs arising from circumstances not covered by Casa Bella Collective or their chosen insurance policy.
6. Health, Accessibility & Participation
Participants are responsible for determining whether they are physically and medically able to participate safely in the retreat and in any activity they choose to undertake.
Participation in individual activities is voluntary. Participants may decline an activity if they do not feel comfortable participating.
Participants should inform Casa Bella Collective in advance of dietary restrictions, allergies, accessibility needs, or other circumstances that may reasonably affect their participation so that we can determine whether appropriate accommodations can be made.
While Casa Bella Collective will make reasonable efforts to accommodate disclosed needs, we cannot guarantee that every dietary, medical, accessibility, or other individual requirement can be accommodated, particularly in remote locations.
Participants remain responsible for managing their own medications, medical conditions, allergies, and personal healthcare needs.
7. Assumption of Risk
You understand and acknowledge that participation in an international retreat and its activities involves inherent and other risks.
Depending on the retreat and activities selected, these may include risks associated with international and domestic travel; automobiles and other ground transportation; boats and water transportation; swimming and snorkeling; beaches, oceans, currents and marine environments; yoga, meditation, exercise and other physical activity; hiking and walking on uneven, wet, steep, or unfamiliar terrain; hot springs; weather and environmental conditions; wildlife and insects; food and beverages; communicable illness; remote locations; and limited or delayed access to medical care.
By participating, you knowingly and voluntarily assume the inherent and reasonably foreseeable risks associated with the retreat and the activities in which you choose to participate.
8. Release of Liability
PLEASE READ THIS SECTION CAREFULLY. IT AFFECTS YOUR LEGAL RIGHTS.
To the fullest extent permitted by applicable law, you voluntarily release and agree not to hold liable Casa Bella Collective LLC and its owners, officers, employees, representatives, and agents from claims for personal injury, illness, death, or property loss or damage arising from the inherent risks of retreat activities or from the ordinary negligence of the released parties in connection with your participation in the retreat.
This release is intended to apply to claims that may legally be released in advance under applicable law.
Nothing in this Agreement is intended to release liability for gross negligence, reckless or intentional misconduct, or any other liability that cannot lawfully be waived.
You acknowledge that you are voluntarily choosing to participate in the retreat with knowledge of the risks described in this Agreement.
9. Independent Third-Party Providers
Casa Bella Collective works with independent hotels, property owners, restaurants, transportation providers, guides, boat operators, activity providers, instructors, and other local businesses to provide portions of the retreat.
These businesses may operate independently from Casa Bella Collective and may maintain their own policies, requirements, or participant agreements.
Participants agree to comply with reasonable safety instructions and requirements imposed by these providers.
A third-party provider may require its own waiver or participation agreement for a particular activity. Acceptance of this Agreement does not eliminate a provider's right to require such documentation.
10. Emergency Assistance
If you become ill or injured and are unable to make decisions or communicate your wishes, you authorize Casa Bella Collective to make reasonable efforts to contact emergency services and your designated emergency contact and to assist in obtaining medical attention when reasonably necessary.
Casa Bella Collective does not provide medical services and cannot guarantee the availability, quality, or timing of medical treatment.
Participants are responsible for medical, evacuation, transportation, and other expenses incurred on their behalf.
11. Participant Conduct
Casa Bella Collective is committed to creating a safe, respectful, and welcoming environment.
Participants are expected to treat other guests, hosts, local residents, staff, vendors, property, and communities respectfully and to follow reasonable safety instructions.
Casa Bella Collective reserves the right to remove a participant from an activity or retreat when, in our reasonable judgment, their behavior threatens safety, involves harassment or abusive conduct, substantially disrupts the retreat, intentionally damages property, or repeatedly disregards reasonable instructions.
A participant removed for such conduct is responsible for expenses associated with their departure and is not entitled to a refund for unused portions of the retreat.
12. Personal Property
Participants are responsible for their passports, money, electronics, luggage, valuables, and other personal belongings.
Casa Bella Collective is not responsible for lost, stolen, forgotten, or damaged personal property except to the extent liability cannot lawfully be excluded.
13. Governing Law & Severability
This Agreement will be governed by the laws of the State of California, without regard to conflict-of-law principles, except where another jurisdiction's law necessarily applies.
If any provision of this Agreement is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the fullest extent permitted by law.
This Agreement, together with the participant's booking confirmation and retreat-specific written terms, constitutes the agreement between the participant and Casa Bella Collective concerning the matters addressed herein.
14. Electronic Acceptance
By checking the acceptance box during the reservation/payment process and submitting payment, you acknowledge that:
You have read and understand this Agreement; you understand the cancellation and refund policy; you understand the risks associated with participating in the retreat; you voluntarily agree to the assumption-of-risk and release provisions above; and you agree to be bound by these terms.
Electronic acceptance of this Agreement is intended to have the same effect as a written signature to the extent permitted by applicable law.
